Module 1
AI Fundamentals and Tools
The most important thing first
AI doesn't think — it predicts
It's like your phone's autocomplete, but with a much greater capacity. It doesn't invent from scratch — it builds responses by combining patterns learned from millions of texts.
You're the one who guides and validates
AI has no judgment of its own about your business. You're the expert on your product, your customers, and your context. AI is the tool; you decide.
It can be wrong: "hallucinations"
Sometimes AI makes up data or information that seems real but isn't. Always verify anything important before using it in a decision or publication.
What AI can do for your team
| Type | What it does | Practical example |
|---|---|---|
| Text | Writes, summarizes, translates, responds | Follow-up email to a client |
| Image | Generates or improves images from a description | Image for a social media post |
| Data | Organizes, analyzes, and summarizes information | Summary of survey responses |
| Conversation | Answers frequently asked questions | Customer service messages on WhatsApp |
The three main tools (free)
ChatGPT chatgpt.com
By OpenAI. Ideal for writing, researching, and creating sales copy.
Gemini gemini.google.com
By Google. Connects with Drive and Gmail, searches up-to-date information.
Claude claude.ai
By Anthropic. Excellent for long documents and detailed reasoning.
To get started, any of the three works. What matters is learning to give them good instructions — that's what makes the difference in results.
Practice prompt
✦ First try with AI
I work at [your company or department name] and my role is [your job title].
I want you to help me write [an email / a message / a summary] about the following: [describe the task].
Do it in a [formal / friendly / direct] tone and no more than [desired length].
Key ideas: AI predicts and generates, it doesn't think. It always needs your guidance and validation. The three main tools are free to start with.

Module 2
Everyday Productivity
The productive person's flow with AI
Repetitive task → Ask AI for help with context → Review and adjust → Save the prompt that worked → Reuse it next time
Office tasks you can speed up
| Task | Tool | How to ask |
|---|---|---|
| Summarize a long document | Claude / NotebookLM | "Summarize this document in 5 key points" |
| Write a difficult email | ChatGPT | "Help me write this email assertively" |
| Organize this week's tasks | ChatGPT / Gemini | "Organize these tasks by priority" |
| Analyze spreadsheet data | Gemini / Claude | "Find patterns in this data" |
The basic framework for asking well
1
Context: who you are and what situation you're in.
2
Task: exactly what you need it to do.
3
Format: how you want the result (list, table, email, tone).
4
Review: always read and adjust before using the result.
✦ Summarize and organize
I have the following information: [paste your text, list, or data].
Summarize the most important points in a clear list, and suggest how to prioritize them if I had to act on them this week.
Result of this module: tasks that used to take half an hour (summarizing, writing, organizing) can drop to minutes, freeing up time for what really needs your judgment.
📣
Module 3
Communication and Customer Service
Content pillars for a company
| Pillar | What to communicate | Goal |
|---|---|---|
| Product or service | What you offer, benefits, use cases | Show what you sell |
| Process | How you work, your team, your quality | Build trust |
| Testimonials | Satisfied customers, real results | Convince skeptics |
Copy with AI — the basic framework
When you ask AI to write for you, always give it: who you are + who you're talking to + what you want to achieve + how you want to sound.
✦ WhatsApp message for a customer
Write me a WhatsApp message to send to a customer who asked about [product/service].
The message should include:
- A clear and appealing response
- The next step (quote, meeting, payment)
- A friendly close that invites them to keep the conversation going
Tone: warm and professional. No more than 120 words.
You don't need to master them all. Start with one tool, use it for a single task, and once it's working well, add the next one.
